FUND RAISING

Fundraising can sometimes seem confusing, even scary... but it needn't be. You see... great fundraisers aren't born. They are made. Anyone can become a great fundraiser by learning the principles behind raising money, then practicing over and over again. While some people are naturally gifted fundraisers, for the most part, everyone in the fundraising world started off feeling confused and awkward.

ASSIGNMENT

You and your classmates have been chosen as exceptional students in the field of Fitness and Leadership at Secondary Virtual School (SVS). You will be responsible for creating an experience for the students at your home school and/or the surrounding community that will educate them to the benefits of lifelong participation in sports and recreation.

The Major Event Assignment

Instructions: You will plan an event/fundraiser that increases awareness of active living and/or provides an opportunity for physical activity for a large target group.

You will need to create the following for this assignment:

  1. Event Proposal

  2. Event Action Plan

  3. Event Marketing/Promotion

  4. Reflection on the process of event planning

Event Proposal

The event proposal is the first step in organizing an event. Your proposal should explain who you are, why you or your team or organization is planning this event. What need, will this event fill for the school or the community? Discuss the benefits or advantages of doing the project. What organization/charity you will be supporting, what is their mission and why have you chosen to work with them. Be sure to communicate your passion and conviction.

Event Action Plan

Once you receive approval you can begin your action plan for your event. An appropriate action plan should include the following details:

Event Description:

Include in this section a clear & comprehensive description of the event. This description should include a list of all planned activities and the venue/ facilities required.

Event Action Plan:

This description should include a list of all planned activities, proposed/confirmed date(s), time(s) & location(s). Furthermore, provide a detailed timeline/itinerary for the event itself as well as a timeline (critical path) of the general tasks needed to plan the event.

Risk Management / Logistics

Make sure to include any needs for first aid (Emergency action plan) amplified sound, special accommodations from Student Activities, Grounds, custodial assistance etc... Note any needs for audiovisual equipment, other equipment (pads of newsprint, podiums, etc.) security, emergency medical care, reference OPHEA guidelines, OSBIE Risk Management strategies, staging, lighting, permits, special needs, allergies etc....

If the event is an outdoor location, make sure to include an inclement weather plan - rain date, rain site or cancellation as well as a timeframe for making that decision.

Event Marketing/Promotion

Marketing/Promotion of your event is important as this is how people will know about your event, the benefits of it and when and where it will take place. List all plans for publicity/marketing, including any on-campus & off-campus promotions. Plans for media coverage. (NB - coverage limits e.g. media release forms). You will also be required to create one example of a marketing tool. This tool could be a video/commercial, poster, slideshow, prezi.. the choice is up to you. Your creation must include date and time of your event, a simple description of what your event is, a simple description of the benefits of your event and of course visuals.

Reflection

Since we are creating these events in theory it is important to reflect on the process because one day you may be required to create and lead an event.

First Part:

What parts of your event do you believe will be successful? Why?

If you had more time what components of your event would you change? Why?

Why do you think your marketing will be effective? Do you think your marketing plan will reach its intended audience and why?

Second Part:

How have you developed as a leader? What skills specifically did you work on?

How did your personality profile fit with your leadership style? Did it change over the course of the semester?

What obstacles have you faced in your development as a leader? How have you overcome these obstacles? How has that shaped your development?
